The Advanced Journal of Science and Innovation (AJSI) recognizes that artificial intelligence (AI) and AI-assisted technologies may support research and scholarly writing. The journal permits the responsible use of such tools when their use is transparent, ethically appropriate, and subject to meaningful human oversight.
Authors remain fully responsible for the originality, accuracy, integrity, ethical compliance, and appropriate citation of all content submitted to AJSI, including any content prepared with the assistance of AI tools.
1. Scope of this Policy
This policy applies to generative AI tools, large language models, chatbots, AI-assisted writing tools, automated translation tools, code-generation tools, image-generation tools, data-analysis tools, machine-learning systems, and other AI-enabled technologies used in the preparation, analysis, writing, editing, translation, visualization, or submission of a manuscript.
2. AI Tools Cannot Be Authors
AI tools must not be listed as authors or co-authors of a manuscript.
Authorship requires responsibilities that can only be fulfilled by human authors, including approval of the final manuscript, responsibility for the accuracy and integrity of the work, disclosure of conflicts of interest, compliance with ethical requirements, and accountability for the published content.
3. Author Responsibility and Human Oversight
Authors must exercise meaningful human oversight over any use of AI tools.
Authors are responsible for:
• Reviewing, verifying, and editing all AI-generated or AI-assisted content before submission.
• Ensuring that all statements, data, calculations, analyses, citations, quotations, references, tables, figures, images, and conclusions are accurate, reliable, and appropriately supported.
• Checking that no fabricated, inaccurate, misleading, biased, plagiarized, or improperly attributed content is included in the manuscript.
• Ensuring that the use of AI does not violate copyright, intellectual-property rights, confidentiality obligations, data-protection requirements, participant consent conditions, or institutional policies.
• Obtaining any necessary permissions for AI-generated, AI-modified, or AI-assisted images, figures, datasets, code, or other material.
• Taking full responsibility for the final manuscript and all published content.
4. Disclosure of AI Use
Authors must disclose any substantive use of generative AI or AI-assisted tools in the preparation of a manuscript.
Substantive use may include, but is not limited to:
• Drafting, rewriting, paraphrasing, summarizing, or translating substantial parts of the manuscript.
• Generating or revising tables, figures, images, illustrations, visualizations, or graphical abstracts.
• Generating software code, algorithms, scripts, workflows, or computational models.
• Conducting, supporting, or interpreting data analysis.
• Generating research instruments, questionnaires, interview guides, protocols, or other research materials.
• Assisting with literature synthesis, structured review, or systematic screening.
• Producing text, data, images, or analytical outputs used in the submitted work.
A disclosure is not normally required for routine use of basic spelling, grammar, punctuation, reference-formatting, or language-correction tools that do not generate substantive new scholarly content. However, authors remain responsible for all changes made using these tools.
5. Where to Include the AI Declaration
When disclosure is required, authors must include a separate section in the manuscript immediately before the References section, using the heading:
Declaration of Generative AI and AI-Assisted Technologies
The declaration must identify:
• The name of the AI tool or service used.
• The version or model, where known and relevant.
• The purpose for which the tool was used.
• The extent of the tool’s contribution to the manuscript or research process.
• The human oversight, verification, and editing undertaken by the authors.
Example:
Declaration of Generative AI and AI-Assisted Technologies
During the preparation of this manuscript, the authors used [Name of Tool] for [purpose, such as language editing, translation, code development, data analysis, or drafting a preliminary outline]. The authors reviewed, verified, and edited all AI-assisted output and take full responsibility for the accuracy, integrity, originality, and final content of the manuscript.
For AI-assisted research analysis, code, images, tables, figures, or other substantive outputs, authors should provide sufficient methodological detail to allow readers to understand and assess the role of the AI tool.
6. Use of AI in Research Methods and Results
Where AI tools are used in the research itself, such as for data analysis, machine learning, algorithm development, coding, classification, prediction, model training, image processing, visualization, or automated decision-making, authors must describe the use of AI clearly in the Methods section.
The Methods section should include, where applicable:
• The name, version, model, provider, or source of the AI tool or system.
• The purpose of the AI tool in the research.
• The input data, source data, datasets, prompts, parameters, training approach, validation approach, and analytical workflow.
• The procedures used to verify the accuracy, reliability, reproducibility, bias, limitations, and potential errors of the AI-assisted outputs.
• Any human oversight, quality control, review, or correction applied.
• The availability of code, data, prompts, models, or other materials necessary for responsible assessment and reproducibility, subject to ethical, legal, and confidentiality restrictions.
7. AI-Generated or AI-Modified Images
Authors must disclose the use of AI tools to generate, modify, enhance, combine, or substantially alter images, figures, illustrations, graphical abstracts, or visual materials.
AI-generated or AI-modified visual material must not misrepresent research findings, experimental data, clinical information, scientific evidence, or real-world events.
Images used as research data must not be altered in a manner that changes, conceals, removes, adds, or misrepresents information relevant to the scientific interpretation of the work.
The editorial team may request original image files, metadata, prompts, editing history, or other information necessary to assess the integrity of visual materials.
8. Confidentiality and Data Protection
Authors must not upload confidential, unpublished, proprietary, sensitive, personally identifiable, patient-related, or restricted information into public or unsecured AI tools unless they have obtained explicit authorization and have ensured compliance with applicable ethical, legal, institutional, contractual, and data-protection requirements.
Authors must take particular care when using AI tools with:
• Unpublished manuscripts.
• Peer-review reports.
• Participant data.
• Personal data.
• Sensitive institutional information.
• Proprietary datasets.
• Confidential research protocols.
9. Use of AI by Editors and Reviewers
Editors and reviewers must preserve the confidentiality of submitted manuscripts and peer-review materials.
Editors and reviewers must not upload, copy, paste, or enter confidential manuscript content, reviewer reports, editorial correspondence, author information, or unpublished data into public, unsecured, or unauthorized AI tools.
Any use of AI tools by editors or reviewers in editorial assessment, peer review, reviewer reports, or editorial correspondence must be authorized by the journal and disclosed in accordance with the journal’s confidentiality and publication ethics requirements.
Editors and reviewers remain fully responsible for the accuracy, fairness, confidentiality, and integrity of any AI-assisted editorial or review activity.
10. Non-Compliance
Failure to disclose substantive AI use, submission of AI-generated material without appropriate verification, inclusion of fabricated references or data, misuse of confidential information, or any other breach of this policy may be treated as a research-integrity or publication-ethics concern.
The journal may request clarification, supporting documentation, prompts, code, original files, data, or other information. Depending on the seriousness of the concern, the journal may reject the manuscript, suspend editorial processing, publish a correction or expression of concern, retract a published article, or take other action under the journal’s Publishing Ethics policy.
